System Integration for Pakistani Distributors

A rep takes an order on WhatsApp, someone types it into a spreadsheet, someone else re-types it into the accounting package, and the warehouse works from a third list. By Thursday nobody agrees how much stock is left. If that sounds like your distribution or trading business, the fault is rarely the people. It is the joins between your tools that nobody owns. GoDesign is an Islamabad-based agency, and this is how we approach that problem.

System integration for distributors in Pakistan: what it is and where it breaks

System integration means connecting the tools your business runs on, such as stock, orders, invoices and customer records, so data entered once appears where it is needed instead of being typed again. It breaks at the hand-offs: a sync that only works in one direction, an order that fails to arrive and nobody notices, a spreadsheet that quietly becomes the real system.

Distributors, wholesalers and trading businesses in Islamabad, Lahore and Karachi feel this more than most, because orders come from several doors at once: a sales rep, a WhatsApp message, a phone call, perhaps an online store. Each door tends to end in a different place, so stock figures drift and invoices disagree with deliveries.

So the real job is not buying another tool. It is deciding which system is the source of truth for each fact, then building and watching the joins between them.

Integrating CRM, accounting and back-office systems: APIs, webhooks and custom builds

Most connections use one of three routes: a ready-made connector between two tools, an API or webhook link that we configure in a workflow tool, or a small custom build when no connector fits. The right route depends on the systems you run and on how much your process differs from the standard one.

We will be plain about what our site supports. Our services page describes Zoho and HubSpot CRM implementation, including Zoho Books, and n8n and Make workflows that replace the manual steps between your website, CRM, WhatsApp and accounting tools. They run in your own accounts and are documented so you own them. We also build custom web applications in React, Next.js, Supabase or Laravel when a ready-made tool is the wrong fit.

What the site does not say is that we integrate a particular ERP or accounting package by name. If yours is one of those, bring us the brief and we will say plainly what we take on. Our article on CRM development in Pakistan shows how we set up the customer record that other systems then feed.

If you already know which two systems should talk, get a custom quote and tell us what each one holds.

“This gal really knows her stuff! Amazing to work with her very intuitive proactive designer with endless knowledge base to make your project a stressless experience and run smoothly! I will be awarding her many more projects in the near future for sure!”

That was a store integration job, not an ERP or accounting project. We include it because it shows a client who needed one platform connected to another and was happy with how the work ran.

System integration examples that matter for distributors

The integrations worth building first are the ones where a person re-keys the same data every day. These are the flows we would look at with a distribution business.

  • Order to stock to invoice: an order is recorded once and the stock and the invoice step follow from it, with exceptions flagged to a person instead of buried.
  • CRM and inventory in step: your sales team sees the stock position while quoting, and the customer record shows what was actually ordered and delivered.
  • Store orders into the back office: orders from a WooCommerce or Shopify store land in the same place as rep and phone orders, so the warehouse works from one list.
  • WhatsApp orders logged: the official WhatsApp Business API in your own account connected to your CRM, so a message that becomes an order is recorded and a colleague can take over any chat.
  • Failure alerts: when a sync step fails, someone is told, because the worst integration is the one that stops silently.

Few businesses need all five at once. The skill is choosing the join that costs you most today and building it so your team can see what it did. Our article on automation workflows for property firms shows how we scope a connected workflow, and the one on WhatsApp support covers the shared inbox side.

System integration with existing and custom software

In most cases you keep the systems you already run and connect them, rather than replace them. Replacing makes sense when a tool cannot be reached by any API or has become the problem itself, and we would say so after looking at it.

Your own data matters as much as the software. Our CRM work includes migrating data from spreadsheets or a previous CRM, and clean product and customer data is the base for any sync. A join built on messy item names or duplicate customers only moves the mess faster.

When the process is unusual, a custom piece is sometimes needed. For a candid example, our S-Line case study is a shipment tracking and quotation website for a logistics company, built in React with user accounts. It is a custom web application, not an ERP or accounting integration, and the case study does not describe a back-office connection. It does show the kind of purpose-built tool we deliver when a template will not do.

Working with a system integration company or integration developer

A specialist team is worth having because the job is never one script. It touches your CRM, accounting, stock, WhatsApp and the rules about which system wins when two disagree. One integration developer who writes a single connector leaves you with something nobody else can maintain.

Our process starts with a call within one working day, a 30-minute meeting with a partner, then a fixed quote. We hand over every login and file, train your team and stay available for support, and we document the workflows so the work never depends on one person. We do not publish prices, because they depend on your systems and volumes.

Our guide to e-commerce website design covers the store structure that makes order data easy to pass on, and the article on campaign optimization shows how to trace where your orders come from.

  • This article contains no statistics or prices. The description of our CRM, WhatsApp Business API, n8n, Make, store and web application work follows the GoDesign services and technologies pages on this site. The reply time, 30-minute call, fixed quote and handover follow the contact and company pages.
  • Zoho, HubSpot, WhatsApp, WooCommerce, Shopify, n8n and Make are third-party names used only to describe what we work with or what the reader may already use. GoDesign is not a partner, certified expert or affiliate of any of them. Our site does not name any specific ERP or accounting package that we integrate, apart from Zoho Books among the Zoho products we implement, which is why the article asks for the brief first.
  • The S-Line description comes from the S-Line case study on this site. It is a React shipment tracking and quotation website for a logistics company, not an ERP or accounting integration, and the case study does not describe a back-office connection.
  • Both client reviews are excerpts of public reviews on Freelancer.com, trimmed only to remove the freelancer's name, and are otherwise exactly as written. The first was left on a job called Amazon Integration for Shopify Site and the second on a job called Wix to WooCommerce Migration & Design Upgrade. Neither was an ERP or accounting project. Neither excerpt contained a dash, so nothing was changed.

Common questions

Can you connect my accounting software to my CRM and stock records?
We implement Zoho and HubSpot CRM, including Zoho Books, and connect websites, CRM, WhatsApp and accounting tools with n8n and Make workflows. Our site does not name a specific ERP or accounting package that we integrate, so bring us the brief and we will say plainly what we take on.
Can WhatsApp orders be recorded automatically?
We set up the official WhatsApp Business API in your own account and connect it to your CRM, with a shared team inbox so a person can take over any chat. We confirm the exact order flow against your process on the first call.
Do I have to replace the systems I already use?
Not necessarily. Often the better route is to connect what you have. If a tool cannot be reached or is the real problem, we will tell you honestly after looking at it.
Who maintains the integration after launch?
We hand over every login and file, train your team and stay available for support, and we document the workflows so you own them.
How much does a system integration cost?
We do not publish prices, because the cost depends on your systems and volumes. Request a custom quote and we will scope it after a short call.
